New: Refrigerant Tracking, Payroll Tools, and Job Costing Reports

• Track refrigerant cylinders from inventory to the job site to help with EPA and CARB compliance. Techs can scan cylinder barcodes in the field, and you get automatic alerts for potential leaks.
• Export approved hours for your payroll provider. We also corrected how overtime is calculated to be per-technician and fixed an issue where large payroll files could be cut short.
• A new Job Costing Variance report compares your estimated costs to actuals for labor, materials, and subs.
• Added a new section for setting up and running department manager compensation schedules.
• Fixed an issue where job costing and payroll could use different labor rates for the same technician, ensuring your numbers are consistent.

New Navigation, Service Bulletins for Techs, and Other Improvements

• The main office navigation is reorganized around your job role, grouping common tasks to make them easier to find. We also added tabs to the Purchasing, Agreements, and Reports hubs for faster navigation.
• Technicians can now see relevant OEM service bulletins on the job page and save them for offline use. They'll also see notes from the office on pinned documents and get clearer feedback when an offline action fails.
• Price book imports are now safer. If an import fails for any reason, it will be completely rolled back to prevent partial or incorrect data.
• Fixed several bugs affecting billing and dispatch, including how cents are handled in warranty policies, proration for partial rental returns, and items being skipped on the dispatch board.
• The help drawer provides better-formatted answers, and you can now subscribe to these changelog updates by email on the public changelog page.

New tools for Compliance, Purchasing, and Service Bulletins

• Manage compliance, purchasing, and vendors from new pages in Settings. You can now enforce technician certification requirements, author JHA templates, run materials reconciliation, and manage the new vendor portal.
• Track OEM service bulletins directly on your equipment. A new catalog lists manufacturer bulletins, and a new tab on equipment details lets you pin, hide, and review them.
• Give service agreement visits a specific purpose, like "Spring Startup," that carries over to the work order. We also shipped dozens of improvements to the Rentals module, making quoting, delivery, and invoicing more reliable.
• See what's next on our redesigned public roadmap. The new layout is easier to browse, and we've streamlined the process for submitting ideas.
• This update also includes many smaller fixes, including for staff logins, mobile display issues, and fleet condition history.

New Rental Quoting, Dispatch Reports, and Supplier Portal Tools

• This release adds a new quote-first workflow for rentals, two new reports for dispatch and inspections, and more tools for your suppliers in the Vendor Portal. You can now build and send a rental quote from the Proposals screen, complete with equipment, term dates, and pricing previews. Once the customer approves, you can convert it directly to a rental agreement. For more oversight, a new setting lets you require internal approval before quotes are sent.
• In the Reports section, you'll find a new Dispatch Backlog report to see open work, and an Inspection Trends report to track pass/fail rates. We also improved the Vendor Portal so your suppliers can acknowledge POs and submit invoices for multiple orders at once. Finally, existing rental agreements are now editable, and we've made a number of fixes to make the entire rental lifecycle—from quoting to final return—more reliable.

New Reporting Insights, Plus Upgrades for Rentals and Mobile

• The Reports section gets a major overhaul this week, giving you a clearer view of your business. You can now track monthly PM compliance trends, see equipment repair costs and reliability, and forecast profitability on upcoming agreement renewals. We also added more powerful filters to the Work Order Aging report and fixed several issues to make sure all your report data is accurate and easy to read.
• If you handle rentals, we've made some big improvements. Rental rates are now locked in when an agreement is created, giving you a permanent record of the price you committed to. We also fixed several steps in the rental lifecycle, from deployment to final billing, and you can now add accessory line items to existing on-rent agreements.
• For techs and staff on the go, the entire Automations section now works smoothly on mobile devices. We also shipped a number of other fixes to make your day-to-day work easier, including more consistent appointment status updates and clearer messages when setting up planned maintenance for non-HVAC equipment.

New Job Costing and Capital Planning tools, plus Dispatch improvements

• Today we're releasing two major new toolsets: Job Costing and Capital Planning.
• The new Job Costing tools give you a clearer picture of profitability. You can now run a full Profit & Loss report by department, with drill-downs to see the source of every dollar. We've also added manager compensation schedules to calculate bonuses based on department margin. On individual work orders, you'll now see more detailed cost breakdowns, including field purchases, subcontractor costs, and technician commissions.
• Capital Planning is a new module for creating long-term equipment replacement plans for your customers. You can generate multi-year budgets, review and edit the plan in the office, and then share a professional, customer-facing version with a public link or as a CSV file.
• We've also made several improvements to the Dispatch board. The "Optimize Day" tool is now more powerful: it can include unscheduled jobs from your backlog when building the most efficient routes for your team. We also fixed several issues where the unscheduled jobs list wouldn't display correctly when changing dates, and fixed a problem that could cause the optimizer to be unavailable.
• This update also includes a number of other fixes: - Vendor bills can now be synced to your accounting software, with a new page to track the sync status. - Fixed issues with removing staff members and resending invitations. - Line items on proposals will now always appear in the correct, stable order. - When your session times out, you'll now be returned to the page you were on after you sign back in.

New Inventory Workflows, Warranty Reporting, and Major Rental Upgrades

• You can now manage inventory transfers between your warehouse and technician vans. The new materials workflow lets you track stock movements, manage restock requests, and see fulfilled quantities on work orders. We've also added warranty reporting to track and export claims by branch or for the whole company. Alongside this, file attachments are now more secure across the platform.
• The Rentals module has been significantly upgraded for more flexible pricing and accurate billing. You can now set rental rates based on ratios (e.g., a daily rate that's a percentage of the 28-day rate). We also fixed dozens of issues in the billing engine to ensure invoices are correct, covering complex cases like multi-unit agreements, minimum periods, meter overages, and mid-period returns. New rental workflows include requiring a signature before deployment and the ability to edit agreement line items.
• A batch of other improvements are also live: * Set company-wide defaults for deposits, call-out fees, and billable time rounding. * Dispatch map pins are now clickable to show job details. * Technicians can see the job total on their device before marking work complete. * The equipment list on jobs now shows your shop's specific equipment types. * For shops doing fire inspection work, we've improved compliance tracking and how fire systems are managed. * Standard Job Hazard Analysis forms are now automatically available on arrival for all shops.

Rental Invoicing and Agreement Fixes

• We've shipped a set of important corrections for the new Rentals module, focused on billing accuracy and agreement signing.
• First, your rental invoice previews will now exactly match the final generated invoice. We fixed the underlying issue where adjustments for meter overages or contract rules weren't appearing on the preview. We also corrected two other billing errors: one that was overcharging for composed units, and another that was undercharging on some multi-unit agreements.
• Additionally, we fixed an issue that could prevent office staff from seeing a customer's signature on a rental agreement. All captured signatures will now appear correctly.

Editable Projects and Major Upgrades to Rental Billing

• We've shipped a major set of updates to rental agreements and billing. Your customers can now sign rental and lease agreements by typing or drawing their signature, either through the customer portal or from a shareable link. Once signed, you can generate the final, official document of record right from the agreement.
• Rental billing is now more precise and flexible. You can automatically bill for shift-meter overages (like engine hours) and add one-off return charges for things like cleaning or refueling. When a customer returns an accessory mid-cycle, billing is now automatically prorated to reflect the exact number of days they had it. We also fixed several issues with tiered billing calculations to prevent incorrect charges on complex or open-ended rentals.
• For project-based work, you can now edit a project's scope after it has been converted from a quote. This includes adding new phases or milestones, updating existing ones, and archiving parts of the project that are no longer needed. The system prevents you from archiving any phase that has an active work order or an invoiced milestone, keeping your job costing accurate.

Major Upgrades for Rentals, Fleet, and Invoicing

• We've shipped a major set of improvements focused on rental operations. You can now manage your rental fleet, agreements, and billing with more detail and control.
• You can now create a single rental agreement that covers multiple pieces of equipment, instead of needing separate agreements for each. We also added the ability to upload and store signed contracts or other files directly on the rental agreement. For shops that re-rent equipment, you can now track that inventory from your vendors, see its cost, and view the margin you're making on the job.
• To give you a clearer picture of your business, you can now track internal maintenance costs against your rental fleet. Work orders for your own equipment will automatically roll up their costs, showing you the true profitability of each asset. We also added more flexibility to invoicing: you can now edit line items on draft invoices to correct mistakes, and you can set custom payment terms for specific rental agreements that override your standard terms.
• This update also includes a few fixes, including one to prevent operating leases from showing up in rental lists and another to improve keyboard navigation on mobile devices.

Upload Vendor Bills and Track Fire Compliance Deadlines

• You can now upload documents directly to vendor bills. When you receive a bill from a supplier, attach the PDF or image file right on the vendor bill screen in Thermal to keep everything in one place. We also added a safer correction flow for office staff to handle rejected vendor bills.
• For shops doing Fire & Life Safety work, we've added new tools to keep you on top of compliance. A new set of inspection templates based on NFPA standards is now available. More importantly, you'll now see compliance deadline badges on deficiencies, showing you at a glance what's overdue, due within a week, or due later, based on the code requirements.
• A few other improvements for the office: If an approved quote fails to convert to a job for any reason, office staff can now see the error and retry the conversion after fixing the issue. We also moved all settings for the Rentals module to their own dedicated tab in the main Settings area to make them easier to find.
• This update also includes several fixes. Mobile navigation is more stable, the dispatch map no longer collapses on small screens, and dispatch filters are more reliable.

New purchasing tools, faster dispatch, and major fixes

• This release adds two major new tools for purchasing and inventory. You can now perform three-way matching between purchase orders, receiving slips, and accounts-payable invoices, with configurable tolerances and an audited override. We also added the ability to stage material requirements from jobs and consolidate them into planned purchase orders.
• We've made significant performance improvements across the platform. The dispatch board, reports, and automations pages will now load faster and feel more responsive. We also fixed several issues on mobile devices, including restoring the full view of the dispatch schedule and improving scrolling on equipment records.
• For service agreements, you can now create visit schedule presets on your plan templates to set up new agreements more quickly. This update also fixes a critical issue that was preventing document uploads in the customer portal and resolves a navigation bug in the vendor portal.

New tools for Warranty, Purchasing, and Safety Compliance

• This release adds several new tools to help you manage more of your business in Thermal. You can now track warranty claims from start to finish, manage technician credentials with a new compliance queue, and view safety scorecards for your teams. We've also added key purchasing features, letting you set a ship-to address (including the job site) on purchase orders and assign specific line items to different jobs.
• The Help button now opens a new chat panel. You can ask it questions about how to use Thermal, and it can give you guidance based on the screen you're on. If you're stuck on a work order, it can suggest the next step. If it can't answer your question, you can send your request to our support team with one click.
• We also fixed several issues to make your day-to-day work smoother. The dispatch board scrolling is repaired, so you can see your whole schedule without trouble. The Job Hazard Analysis (JHA) for technicians now works correctly on every visit of a multi-visit job, ensuring safety checklists can always be completed. You can also now edit subcontractor details directly in the main list, and we corrected a calculation error that could cause rounding issues on warranty claims.

Preventive maintenance visits now run on Inspection Templates

• Preventive maintenance visits generate a single inspection — with the same readings, photos, and pass/fail checks technicians already use for every other job — instead of a separate checklist. The old PM Templates page is retired; manage your PM checklists from Settings → Inspection Templates.

Fire & life-safety equipment pack, plus multi-credential dispatch requirements

• Fire and life-safety equipment (extinguishers, sprinkler systems, alarm panels) now has its own inspection pack out of the box. Dispatch can also require more than one certification for a job — for example, a tech needs both an EPA 608 card and a fire-alarm license before they're eligible — instead of only ever checking a single credential.

Edit equipment notes and inspection summaries without opening the record

• Equipment notes and inspection summaries can now be edited straight from their list views — click into the cell, make the change, and it saves in place. No more opening the full record just to fix a typo or add a quick note.
