Project cash flow

Open Projects → Cash Flow in Thermal →

What it's for

Compare expected project billings with costs by month before making working-capital commitments. Open Cash flow from the Projects list. The view starts with the current month in your company's time zone and shows three months by default.

These are timing estimates, not bank balances or promised payment dates. Only active projects with billings, costs or warnings appear. Your organization and branch access apply to every source.

Tabs

Panels and controls

Each project has four rows, followed by totals across the visible projects:

  • Expected billings: pending milestones, scheduled agreement installments and unpaid invoice balances. A milestone uses its phase's planned end date because milestones have no separate due date. Existing invoices use their recorded due date. Future milestone and unbilled schedule-of-values amounts exclude scheduled retainage.
  • Expected costs: open PO quantities still to receive, subcontract commitments or unpaid subcontract invoices, and booked labor, parts and field purchases on unbilled jobs. A subcontract invoice replaces the corresponding commitment. Open PO quantities replace matching booked parts on the same job; any excess booked quantity remains. Part matching uses the inventory pricebook code, or the exact description for manual parts. Booked labor and parts use the phase’s planned end date; without that date, they stay outside monthly net.
  • Net: dated expected billings minus dated expected costs for that month.
  • Warnings: costs that precede sufficient scheduled billing by more than your company's warning threshold, past-due open items carried into the first month, and items without an expected date.

Without dates shows amounts excluded from monthly net and explains missing dates. Shared agreement or invoice charges that span projects without an allocation stay outside totals and produce a warning. The view does not assume a future agreement renewal or a retainage release date.

What it accepts

This screen is read-only. It does not create invoices or change schedules, costs or agreements. Dates and amounts come from the existing project phases, billing schedules, invoices, purchasing records and jobs.

How to configure it

Timing warnings use the company's existing unbilled days setting. Update a phase's planned end or the source record's expected date when its timing changes. An item without a date stays visible in warnings rather than being placed in an estimated month.

Who can see it

You need access to the Projects area and permission to view costs. Both checks run on the server. Branch-scoped users see projects pinned to a site in their branch and organization-wide projects without a site. Jobs, POs, invoices and agreements within those projects still follow branch access.

See Roles & permissions for the role matrix.
