Quote customer view (office preview)
What it's for
Customer view at /proposal/[id] lets office staff preview and print
a quote as a document. It is read-only and requires staff access to Quotes.
Open it from the quote record or the Quotes list.
The customer receives a different link: /p/<token>. That
shared quote opens without a login and provides
customer approval and signature controls. Sending the office preview URL
does not give a customer access to those controls.
Tabs
There are no tabs. A single-option quote shows Scope of work when it has line items. A quote with several options shows a section for each option, with its items and total.
Panels and controls
The header shows the quote number, company name and address, quote type, and Draft → Sent → Approved, Declined, or Expired status. Breadcrumbs lead back to Quotes and the office quote record. Print / Save PDF opens your browser's print dialog.
The body shows linked equipment details, descriptions, quantities and amounts, and any quote notes. Each option shows tax and total, with subtotal where it differs from total. An empty option says No items yet. The accepted option is marked Selected; with three options, the middle one is marked Recommended.
The side summary shows Your options or Your total, plus Valid until, Install window, and Warranty. A time-and-materials quote can show its not-to-exceed price. A rental quote with a complete term shows its start, end, and duration. The related records identify the customer, site and equipment. Where financing is configured, the preview shows an estimated monthly payment, rate and term. It has no financing-request button.
Approval and signing belong on the customer link
The office preview has no approve, decline or signature form. On the
customer's /p/<token> link, Approve and sign is available for a sent
quote that is still valid. With several options, the customer uses the form
on the option they choose. A rental quote also needs a complete rental term.
Signing is optional unless the company requires it. When a signature is provided, the form takes the signer's Full name, a typed or drawn signature where enabled, and acceptance of the displayed signing terms. Successful approval shows the approved response and selected option, where applicable. A captured signature shows Signed by, Signed on, and Download signed copy (PDF) on the shared quote.
If the office changes the quote before approval, the customer's form can refuse the old version or an unavailable option. Review the refreshed quote before trying again. Form errors appear beside the approval controls.
Validity and deposits
Valid until is the quote's approval deadline, through the end of that day in the company's time zone. After it passes, a sent shared quote stays readable but replaces the approval controls with an expired notice asking the customer to contact the company. This is quote validity, not a separate share-link countdown. With no validity date, there is no date-based approval deadline; the quote must still be in an approvable state.
The office preview displays the stored status and validity date; it does not offer approval or enforce the customer deadline itself.
Deposits are requested from the office
quote record, not this preview or its
approval form. Request deposit creates a deposit invoice; Open pay
link opens its separate /pay/[invoiceId] page. Where a deposit is
mandatory, customer approval is refused until the required deposit invoice
is paid. Approving a quote does not itself collect a payment.
What it accepts
The preview accepts no editable fields. Its link identifies one quote in your current company. An invalid, archived or other company's quote cannot be shown; a quote without linked equipment also cannot be shown in this preview.
If loading fails, This quote couldn’t be loaded offers Try again. An invalid customer share link cannot open a quote. Too many share-link requests or approval attempts ask the customer to try again in a few minutes.
How to configure it
The company logo and accent come from business and branding settings. The business address and quote number prefix come from company settings; financing rate and term come from Quotes settings. Scope, validity date, install window and warranty come from the quote record.
Settings → Signatures controls whether a customer's quote approval requires a signature and which signing methods are allowed. Those controls apply to the shared quote, not the read-only preview. See Create and send a quote.
Who can see it
The office preview requires a signed-in company and access to Quotes:
owners, office users and dispatchers can open it; technicians cannot.
The quote must belong to that company. It is separate from the editable
office record at /proposals/[id].
Anyone holding the customer /p/<token> link can open that shared quote
without an account. Keep the link with its intended recipient. It provides
access to that quote, not the company's office screens.
