Invoices
What it's for
Invoices is the billing list — "Billed from completed jobs." Every invoice your company has raised is here, from a prebill waiting for approval to a paid one being filed. It is the screen the office works to get money in.
Reach it from Customers → Invoices in the sidebar, at /invoices. Opening
one goes to its record at /invoices/<invoice>.
Tabs
No tabs. The status filter is Draft, Prebill, Sent, Partial, Paid, and Void. Overdue and On hold are their own pills. On hold keeps the invoices parked on hold, and each of those rows carries an On hold badge — see Park a draft before it goes out for what a hold does. Exported to accounting is Yes or No — Yes means a live accounting mapping. Assigned to me keeps invoices whose named prebill reviewer is you.
Panels and controls
-
Search covers the list — "Search invoices…".
-
Columns:
Column Shows Invoice The invoice number Customer Who is billed WO The job it came from Status Where it sits Amount The invoice total Balance What is still owed Issued When it went out Due When it is due Actions Per-row menu -
Row actions open the invoice, the job behind it, or the customer.
-
Bulk actions, once you tick rows:
- Mark as sent — record that these went out, without sending them again. Useful when you posted or handed them over in person.
- Send — actually deliver them to the customers.
- Void / delete — void keeps the record and the number; delete does not. Void unless the invoice should never have existed.
-
No invoices yet is the empty state.
The prebill filter is the one worth building a habit around: it is the gap between "the job finished" and "the customer was billed", and it is where revenue quietly gets lost.
What it accepts
The list writes nothing directly. Invoices are drafted from completed jobs and edited on their own record.
Batch invoice run
Open Batch run to preview and draft invoices for several completed jobs. See Batch invoice run for its filters, payer rules and generation steps.
How to configure it
- Invoicing settings decide the payment terms, the numbering, and whether a prebill needs approval before it can be sent.
- Callout fees settings decide whether a callout charge is added automatically and at what rate.
- Deposits settings decide whether a deposit can be requested up front.
- Notifications settings decide what Send actually delivers, and from which address.
Who can see it
This screen sits behind the Invoices area.
Owners, office managers and dispatchers can open it. Technicians cannot — the field app shows them a job's value, not the company's receivables. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
