Price book item

What it's for

A price book item record is one catalogue entry in full: what it costs, what it sells for, what it is made of, which tiers get a different price, and how often it has actually been used. It is where a pricing decision gets its evidence.

Reach it by opening any row on Materials & Purchasing → Price Book. The route is /price-book/<item>.

Tabs

The record has no tabs. Components and tier overrides are the body; pricing, inventory, and usage are side panels.

Panels and controls

Header band

The item's code, its category, and its name, with links that jump to the Overview, Pricing tiers, and Where used sections. A Low margin chip shows on the title line when the item's gross margin is below the margin floor. The chip is worked out from cost, so it needs permission to view costs and margins — see Price Book; without it the chip never shows, and every other cost and margin figure on this record is hidden too.

Components

An item can be built from other items — Component, Kind, Qty, Unit price, and Line total. This is how a bundle prices itself from its parts rather than from a number someone remembered to update.

Tier overrides

Tier, Applies to, Price, and Margin. Save tier price sets a different price for one customer tier, and an override can be cleared to fall back to the standard price. The Margin column needs permission to view costs and margins.

Side panels

  • Pricing — Cost, Gross margin, Kind, and Default qty.
  • Inventory — Tracked as, In stock, and Unit cost, where the item is a stocked part. A linked part also shows Cost source (Inventory unit cost), Inventory updated, Category markup (Not set until one is saved on Price Book), and Price at markup (Set a category markup until then). Differs from list price shows when that markup price is not the item's list price. Saving a markup does not change the list price; Reprice category at markup does. Unit cost, Cost source, Category markup, and Price at markup all need permission to view costs and margins — without it the panel stops at stock levels and the updated time.
  • 90-day revenue — what this item has actually brought in.
  • Record mix — Jobs and Quotes: where it is being used.

Add to job

Add to job puts this item straight onto an open job — search "Search open jobs by customer…", set a Qty, and it is added. Handy when a customer calls about a part while you are already looking at it.

How to configure it

  • Price book settings decide which tiers exist and the default margin.
  • Inventory settings decide what this item is tracked as and what its actual unit cost is.
  • Job costing settings decide how the item's cost lands on a job.

Who can see it

This screen sits behind the Price book area.

Owners and office managers can open it. Dispatchers and technicians cannot. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.

Every cost and margin figure on this record — the Low margin chip, the cost basis, the tier Margin column, unit cost, the category-markup price, and the 90-day gross margin — needs the View costs and margins permission, which owners and office managers hold by default; see Price Book.
