What it's for
Vendor bill payments is where you record payments you made to vendors outside Thermal, and see what you still owe. Open it from Purchasing → Vendor bill payments, at /purchasing/payments. No funds are sent and nothing is synced to accounting.
Tabs
This screen has no tabs. Sections run down the page: Record a payment, Open AP by vendor, Open bills, Payment history and Reverse a payment.
Panels and controls
Record a payment: choose an Approved bill, then enter Amount, Paid on, Method (Check, ACH, Card or Other), and optionally Reference and Note. Select Record payment. Each entry applies to one approved bill.
Open AP by vendor shows each vendor and currency with balances in Current, 1-30 days, 31-60 days, 61-90 days and 90+ days. Missing due dates age from the bill date, then the date the bill was created. Currencies stay separate.
Open bills has Vendor, Bill, Currency, Due date, Age, Payment status (Unpaid or Partially paid) and Open balance.
Payment history has Bill, Paid on, Method, Currency, Amount, Reference, Note and Reversal reason.
Reverse a payment: choose a Payment, set Reversed on, enter a Reason, and select Reverse payment. A reversal restores the full payment amount to open AP and keeps the original entry.
Empty states: No open AP, No open bills and No recorded payments.
What it accepts
The amount must be a positive dollar amount no larger than the bill's open balance, and the bill must be approved. The page shows a message when a payment is refused: amount over the balance, invalid amount, bill not approved, bill unavailable in your branch, or bill deleted. A payment that was already reversed cannot be reversed again, a reason is required, and the reversal date cannot be before the payment date. Deleted bills keep their payments in the history, but those payments cannot be reversed. The page uses a request key, so a retried submit does not record the payment twice.
How to configure it
Nothing in Settings changes how this screen behaves.
Who can see it
This screen sits behind the Purchasing area.
Owners and office managers can open it. Dispatchers and technicians cannot. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
