Inspection Templates

What it's for
Inspection Templates is where you build the checklists that PM visits and standalone inspections run against — sectioned items, HVAC field types, pass/fail rules that can reference a piece of equipment's own nameplate data, and the recommendation text that gets attached when an item fails. A template is the checklist definition; the actual pass/fail answers get recorded against equipment out in the field, not here.
Reach it from Settings → Commercial controls → Inspection Templates in
the sidebar, at /settings/inspection-templates.
Tabs
This screen has no tabs. It narrows with two dropdown filters instead — Equipment type and Context — and groups the template list by equipment type underneath them.
Panels and controls
Filters
Equipment type narrows to templates for one type, to templates that apply to all equipment types, or shows everything. Context narrows to Inspection only, PM visit only, or PM + Inspection — which determines where a template shows up as an option.
Template list
Grouped by equipment type, with an "Applies to all equipment types" group last. Each template card shows its name, version, question count, and Active/Inactive status, and expands to its sectioned items. New template starts one from scratch; each card has Edit and item-level Add item/Edit/delete actions.
Template items
Each item belongs to a Section and has a Field type — Checkbox, Pass/Fail, Pass/Flag/Fail, Measurement (a trended number with a unit), plain Number, Dropdown, Text, Photo, Signature, or Computed. An item can be marked Required, given a Severity (Normal or Safety/red-flag), and carry recommendation text plus a default pricebook code that pre-fills a proposal line when it fails.
A Measurement item can set a pass rule: a fixed min/max/target, or a bound relative to the equipment's own nameplate field (e.g. rated load amps, locked rotor amps, max discharge pressure) — the same reading is judged against a different tolerance depending on what's actually on that unit's nameplate, rather than one hard-coded number for every model.
In-use indicator
A template already referenced by a real inspection is tracked as in use — editing it still works, but the underlying version-bump logic keeps past submissions reading against the template shape they were actually answered against, so editing a live template never silently reshapes historical data.

Editing a template or item that doesn't exist (a stale reference) is refused — "Template not found." / "Item not found." — rather than silently creating a new one.
How to configure it
- Which equipment types and reading types appear in the pickers here comes from your org's active trade defs — enabled via vertical packs on Settings → Capabilities, not editable on this page directly.
- A template's Context decides whether it's offered when scheduling a PM visit, a standalone inspection, or both — there's no separate switch elsewhere.
- Compliance policy, a neighboring settings screen, is a related but separate catalog — certifications and Job Hazard Analysis, not equipment checklists.
Who can see it
- Owners see Inspection Templates in the Settings sidebar and can create, edit, and remove templates and items.
- Office managers have access to the Settings area, so the screen and its actions are open to them if they navigate directly, even though the sidebar link is shown to owners.
- Dispatchers and technicians cannot reach Settings at all. Every action here is checked on the server, so the gate holds regardless of what the sidebar shows.
