Roles

What it's for

Roles lists the four built-in roles (Owner, Office, Dispatcher and Technician) and your company's custom roles. A custom role starts from a built-in role and can only take access away: use one to give a group of staff less than their base role, such as an office role that cannot see costs.

Reach it from Settings → This company → Roles in the sidebar, at /settings/roles.

Tabs

This screen has no tabs. Built-in roles are listed first, then custom roles.

Panels and controls

The role list

Built-in roles are marked Built in and have no row menu. Each custom role shows the role it is Based on, how many People hold it, what it Removes and whether it is Active or Archived. The row menu on an active custom role offers Edit and Archive. Archiving asks first and names how many people go back to plain base-role access.

New role and Edit role

New role opens a form with:

  • Name — unique within your company.
  • Based on — Office, Dispatcher or Technician. Fixed after saving.
  • Areas — every area the base role can open. Untick one to remove it.
  • Permissions — every permission the base role holds, with sensitive ones marked Sensitive. Untick one to remove it. Removing a permission also removes the areas that show its data, and the checklist shows those areas as removed.

Assigning a custom role

Assign a custom role from a staff member's Edit form, in the Custom role field. It lists the active custom roles based on that person's role. Changing the person's role clears their custom role.

What it accepts

A custom role can never be based on Owner and never adds access. Roles are archived, never deleted. Archiving a role returns everyone who held it to plain base-role access.

How to configure it

Nothing in Settings changes how this screen behaves. Roles apply to staff in every branch, so changes are made while viewing all branches.

Who can see it

This screen sits behind the Settings area.

Only owners can open it. Office managers, dispatchers and technicians are sent back to their profile. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.

The full role matrix is on Roles & permissions.
