Add terms and conditions to your agreements

Open Settings → Documents in Thermal →

Give every service agreement and rental agreement your customers sign the same terms and conditions. Your customer reads them on the signing page, above the signature, and the signed copy keeps them word for word. An agreement keeps the terms it was signed with, so changing your terms later never changes an agreement a customer already signed.

Write and publish the terms

  1. Open Settings → Documents and find Service agreement terms or Rental agreement terms. Rental agreement terms show only when Rentals is turned on.
  2. Type your terms in Terms and conditions (up to 20,000 characters). Leave it empty to print nothing.
  3. Check the preview. It shows your terms with sample details filled in, including changes you have not published yet.
  4. In Reason for the change, say why the terms changed.
  5. Select Publish service agreement terms or Publish rental agreement terms. Thermal saves them as the next version.

The box is plain text. Lines and blank lines print as you type them, so number your clauses by hand.

Lease agreements keep their standard wording: their end-of-term options set how the lease is accounted for, so they are not edited here.

Fill in agreement details

You can add these fields to the terms. Thermal fills each one in from the agreement:

FieldPrintsAgreements
{company}Your company nameBoth
{customer}The customer on the agreementBoth
{agreement_number}The agreement numberBoth
{term_start}The first day of the termService agreements
{term_end}The last day of the termService agreements
{start_date}The rental start dateRental agreements

A field with no value on the agreement prints as blank. Prices are not fields, so the terms can never disagree with the agreement's price. Thermal refuses to publish terms with a field that is not in this list, or with a { or } that is not part of a field.

Which agreements get which terms

  • An agreement waiting for a signature shows your current version.
  • When the customer signs, the agreement keeps that version. The signed copy holds the terms, the version number and a fingerprint of the wording.
  • The terms are kept exactly as the customer read them, with the names and dates filled in. Renaming the customer or your company, or changing the agreement's dates, after signing does not change them.
  • If you publish a new version while a customer has the signing page open, their signature is not accepted until they reload the page and review the new terms.
  • Agreements signed before you first published terms keep the wording they were signed with, which has no terms and conditions.

See past versions, compare and restore

Each history table lists every version with when it was published, who published it and the reason. Compare shows what changed and Restore publishes a copy of an older version as the newest one. Nothing is overwritten, and each publish is recorded in Settings → Audit log.

Who can change it

Owners and office managers with access to Settings can publish agreement terms. See the Documents reference for the other options on this page.
