Add an acknowledgement and footer to your service reports

Open Settings → Documents in Thermal →

Give every service report the same acknowledgement above the customer's sign-off and the same footer at the bottom. A report keeps the wording it had when it was first opened, so changing your wording later never rewrites a report a customer already has.

Write and publish the wording

  1. Open Settings → Documents and find Service report wording.
  2. Fill in either box. Leave a box empty to print nothing there.
    • Acknowledgement prints under "Customer sign-off", above the signatures (up to 1,000 characters). It prints only when the job has a signed or waived visit.
    • Footer prints at the bottom of the report (up to 600 characters).
  3. Check Service report wording preview. It shows a sample report with your wording, including changes you have not published yet.
  4. In Reason for the change, say why the wording changed.
  5. Select Publish service report wording. Thermal saves it as the next version.

If you had saved a footer before, it opens in the Footer box. Your reports keep printing it until you publish, and a published version replaces it. The boxes are plain text. Lines and blank lines print as you type them.

Fill in job details

You can add these fields to either box. Thermal fills each one in from the job when the report is opened:

FieldPrints
{company}Your company name
{customer}The customer's name
{work_order_number}The job number, for example WO-1042
{site}The service site's name and address on one line
{completed_on}The day the job was completed

A field with no value on the job prints as blank. Amounts are not fields. Thermal refuses to publish wording with a field that is not in this list, or with a { or } that is not part of a field.

Which reports get which wording

  • The first time a completed job's service report is opened, it keeps the version you have published at that moment. Publishing a new version later does not change it.
  • Reports you open before you publish any wording print your saved footer, as before. The first time one is opened after you publish, it takes that version.
  • The technician report in the office does not use this wording.

See past versions, compare and restore

Service report wording history lists every version with when it was published, who published it and the reason. Select Compare on an older version to see what changed, or Restore to publish a copy of it as the newest one. Nothing is ever overwritten, and each publish is recorded in Settings → Audit log.

Who can change it

Owners and office managers with access to Settings can publish service report wording. The date format and technician names options stay under Service report. See the Documents reference.
