Track credentials and compliance

Credentials is the org-wide record of every trade license, certification, and compliance document held by your staff. Dispatch checks it before suggesting a technician for a job that needs a specific cert, so keeping this list current keeps scheduling honest.

Add a credential

Choose Add credential and fill in the sheet:

  • Holder — the staff member the credential belongs to.
  • Credential type — pulled from your org's active credential types (the HVAC baseline plus any vertical pack you've turned on, e.g. Fire's NICET or state-license types).
  • Label / description, number, and issuing authority — optional free text.
  • Jurisdiction — an optional code (e.g. US-WA) used to match eligibility rules, separate from the issuing authority's name.
  • Issued / Expires — leave Expires blank for a permanent credential.

Check status at a glance

Each row shows a status badge:

  • Current — verified and not close to expiring.
  • Expiring soon — verified but within the expiry warning window; the badge counts down in days.
  • Expired — the expiry date has passed.
  • Revoked — marked revoked (see below); this outranks expiry.
  • Unverified — on file but nobody has confirmed it yet.

Any credentials expiring soon also surface in a summary card at the top of the screen, listing the first few by holder and type.

Verify, revoke, renew, or replace

Open a credential (click its name) to reach its lifecycle actions:

  • Mark verified — records that someone checked the credential, with an optional note on how it was checked.
  • Revoke credential — requires a reason and is an audited action; use it when the issuing authority notifies you of a revocation.
  • Renew / replace — for a renewal in the same cycle or a full replacement (new card or number). Enter the new number, issuer, and dates; the prior version is kept, not deleted — see History further down the sheet.

Attach evidence

A credential can carry an evidence reference — a storage link and filename for the scanned card or document, not a file upload from this screen. The reference is private: it's only visible from this admin sheet and is never included in the list you (or anyone else) see when browsing credentials.

Remove a credential

From the edit sheet, Remove credential deletes it outright. This is different from revoking — use revoke when the credential is still on record but no longer valid, and remove only for a row that shouldn't exist at all.
