Request a deposit on a quote
Open Settings → Billing in Thermal →
Use a deposit when you need payment before work starts. Turn deposits on in Invoicing, then request the deposit from a single-option quote. Thermal creates one payable deposit invoice and gives you a pay link to share with the customer.
Turn on deposits
- Open Settings → This company → Invoicing. See the Invoicing settings reference for the full list of controls.
- In Deposits, turn on Require a deposit on quotes.
- Choose Deposit basis: Percent of quote total, Fixed dollar amount, or Parts & materials cost only. Enter a Percent (%) or Fixed amount ($) when that basis needs one.
- Save the settings.
The Deposit card on a quote appears only when deposits are enabled, the quote has a single option, and the calculated amount is more than zero. Quotes with Good/Better/Best options do not show this card on the parent quote.
Request the deposit
- Open the single-option quote.
- In the Deposit card, check Amount due.
- Select Request deposit ($amount).
- When Thermal confirms Deposit invoice created, select Open pay link → and share that link with the customer.
The quote's Deposit card then shows the amount, Requested, and Open pay link →. When the invoice is paid, the card shows Paid instead. You can also find the deposit in Invoices; see Send and collect an invoice.
If you need to request it again
Requesting the same deposit again returns the existing, non-deleted deposit invoice instead of creating another one, as long as deposits are still enabled and the current calculated amount is above zero.
If the request is refused
Your billing prebill policy can require approval before the deposit invoice is sent. In that case, Thermal creates no invoice or pay link and does not submit anything for approval. Use Submit for approval instead.
