Set up customer email
Open Settings → Integrations in Thermal →
Thermal sends invoice and receipt emails to your customers on your company's behalf. Customer emails go out under your company name. Your part is setting the mailbox replies should reach, then choosing which emails go out.
Check the Email tile
Open Settings → Integrations. The Email & receipts tile says Thermal delivers invoices and receipts to customers and tracks delivery. It reads "Thermal sends email and receipts for your company."
The tile has no connect button and no form. It is information only, and it is not counted in the connected total at the top of the page. For more on the other tiles, see Connect integrations.
Set the reply-to mailbox
Open Settings → Documents and notices → Notifications. Reply-to mailbox is where customer replies land. The box starts with your company email when the company record has one. It is stored when you click Save notifications.
An automatic customer email cannot be turned on until that mailbox is saved. If the box is empty and you turn one on, saving is refused: "Set a reply-to mailbox before turning on customer emails, so replies reach your office." A value that is not an email address is refused: "Enter a valid reply-to email address."
A branch can use a different mailbox. On Settings → This company → Branches, open that branch's Defaults and fill Reply-to mailbox. Leave it blank to use the company's mailbox.
Choose which emails go out
The first time, open Choose what your customers get from the Customer emails item on your setup checklist (the step). Set Reply-to mailbox and choose Turn on customer emails. That turns Enable customer notifications on. Saving the master switch from Notifications before that step, while a customer email is ticked, is refused: "Open Choose what your customers get from your Customer emails setup checklist before turning on customer emails."
After that, open Settings → Documents and notices → Notifications. Under Notices, each customer row has an Email switch:
- Booking confirmations, Visit changed, Appointment reminder
- On the way, Arrival-time update, Survey request
- Invoice sent and Invoice reminder
- Statement sent (email only, on by default)
- Quote sent and Quote reminder
- Inspection results
- Change order sent (email only)
- Agreement renewal reminder
Enable customer notifications is the master switch. While it is off, automatic customer notices do not go out, whatever the row switches say.
Send and Send again still try to email an invoice when automatic customer notices are off. They honour customer stops, bounced addresses and provider suppression. Review the billing recipients in the send sheet and check Send history for each recorded outcome. See Send and collect an invoice.
If a row says "Connect Email & receipts first." and its toggle is greyed out, email is not available for your company yet. Contact Thermal support.
Every toggle, and who can change them, is covered in Notifications.
