Add terms and conditions to your quotes
Open Settings → Documents in Thermal →
Give every quote you send the same introduction, terms and conditions and closing. Your customer reads them on the quote link and on the signed copy. A quote keeps the wording it was sent with, so changing your terms later never changes what a customer has already been shown or signed.
Write and publish the wording
- Open Settings → Documents and find Quote wording.
- Fill in any of the three boxes. Leave a box empty to print nothing there.
- Introduction prints above the quote's items (up to 1,000 characters).
- Terms and conditions prints after the quote's facts, under the heading "Terms and conditions" (up to 20,000 characters).
- Closing prints last (up to 1,000 characters).
- Check Quote wording preview. It shows a sample quote with your wording, including changes you have not published yet.
- In Reason for the change, say why the wording changed, for example "Updated payment terms after legal review".
- Select Publish quote wording. Thermal saves it as the next version.
The boxes are plain text. Lines and blank lines print as you type them, so number your clauses by hand ("1.", "2.").
Fill in quote details
You can add these fields to any box. Thermal fills each one in from the quote when the customer opens it:
| Field | Prints |
|---|---|
{company} | Your company name |
{customer} | The customer's name |
{quote_number} | The quote number, for example Q-1042 |
{valid_until} | The quote's valid-until date |
{install_window} | The quote's install window |
{warranty} | The quote's warranty |
A field with no value on the quote prints as blank. Amounts are not fields,
so the wording can never disagree with the prices on the quote. Thermal
refuses to publish wording with a field that is not in this list, or with a
{ or } that is not part of a field.
Which quotes get which wording
- A draft quote previews your current wording.
- When you send a quote, it keeps the version current at that moment. Publishing a new version later does not change it.
- When you edit a quote that was already sent, the customer sees the new version of the quote, so it takes your current wording too.
- When the customer signs, the wording is saved inside the signed copy (PDF) together with the version number and a fingerprint of the text.
- Quotes sent before you published any wording show none.
See past versions, compare and restore
Quote wording history lists every version with when it was published, who published it and the reason. Select Compare on an older version to see what changed: struck words are only in that version, underlined words are only in the current one. Select Restore to publish a copy of that version as the newest one. Nothing is ever overwritten, and each publish is recorded in Settings → Audit log.
Who can change it
Owners and office managers with access to Settings can publish quote wording. See the Documents reference for the other options on this page.
