Stage parts for upcoming preventive maintenance jobs
Open Settings → PM Material Requirements in Thermal →
Use Staged PM demand in Purchasing to turn the parts declared for open preventive maintenance (PM) jobs into vendor-specific draft purchase orders. There is no date window: every qualifying PM job with an unmet declared requirement can appear.
Before you start, declare the required item, equipment type, and quantity per visit in PM Material Requirements. That page covers the declaration form.
Review parts needed for open PM jobs
- Open Purchasing.
- Find Staged PM demand. It groups each item by its Preferred vendor.
- Review the suggested group for each vendor. The summary shows the item quantities and the PM jobs they cover.
A job appears when it is a maintenance job with status unscheduled, scheduled, assigned, en_route, or in_progress; its equipment type must have a declared requirement that has not already been staged. Appointment dates do not limit this list.
Fix items that need a vendor
Items without a Preferred vendor appear under Needs vendor. They cannot be staged until you assign one.
- Open Inventory and open the item named in the Needs vendor list.
- Edit the item.
- Choose a vendor under Preferred vendor.
- Save your changes, then return to Purchasing to review the vendor group.
Create a draft purchase order
- In the vendor group you want to order from, select Create draft PO (<n> jobs).
- Review the draft purchase order that opens.
Thermal creates one draft purchase order for that vendor. It adds one line for each current job and requirement pair, with the inventory item, declared quantity, unit cost, line total, and originating work order.
Stage new demand without duplicating earlier work
You can run this again as new qualifying PM jobs or requirements appear. Thermal only stages pairs that have not already been converted, so it does not create another line for a job and requirement that were already staged.
