Convert approved quotes to jobs
Convert a standard repair or replacement quote into a job from the approved quote record. The new job starts unscheduled, so dispatch still needs to put it on the board and assign it.
This guide covers the job path. An approved quote can also be converted to a service agreement, rental agreement, project, or invoice.
Before you convert the quote
The quote must be approved. It also needs a service site and at least one line item. For a Good/Better/Best quote, accept an option tier first.
If the quote's equipment is under a contractor rental with a non-compete flag, be ready to give a reason why the service work is allowed.
Convert the quote to a job
- Open the approved quote.
- Choose Convert to Job in the header. The same control is also in the quote's activity area.
- If you see Contractor non-compete override reason, enter the reason before you continue. It is only required for equipment under a contractor rental with a non-compete flag.
- Choose Convert to Job.
Thermal opens the job when the conversion finishes. The job uses the quote's service site and equipment, and it copies the quote's line items. For a Good/Better/Best quote, it copies the accepted option's lines.
Dispatch the new job
The new job starts unscheduled. Add it to the schedule and assign the right tech before the visit. See Schedule and assign work.
Review lines that need approval
If a copied discount or refund line is over your approval threshold, it is created as pending approval. Approve it before invoicing the job. See Manage approvals.
If conversion is blocked or fails
Check the message on the quote and fix the stated problem:
- Only an approved quote can be converted (status is ...). Approve the quote first.
- Quote has no service site to schedule the job against. Add a service site to the quote before converting it.
- This quote has no line items to convert. For a Good/Better/Best quote, accept an option tier first. Add line items, or accept an option tier.
- Non-compete flag blocks service billed to the contractor end-customer. Override reason is required. Enter the required override reason.
- Non-compete override reason must explain why this service work is allowed. Update the reason so it explains the work.
If the quote shows Conversion needs attention, correct the problem and choose Retry conversion. If the job was already created, View Job opens the existing job instead of creating another one.
