Set up text messaging

Open Settings → Integrations → Text Messaging in Thermal →

Text messaging sends appointment reminders and on-my-way texts to your customers from your company's own number. You give Thermal your business details, the carrier reviews them, and once approved your texts go out from your verified number. Only owners and admins can open this page.

Open Settings → Integrations, find the Text messaging tile, and choose Set up texting. That opens Text messaging, which has a Status section and, when it applies, a Business profile form. For the rest of the tiles, see Connect integrations.

What the four statuses mean

The status chip on the tile and at the top of the page is always one of these:

  • Not started — nothing has been submitted yet. The Business profile form is open.
  • In review — your details are with the carrier. This can take a few business days. The form is hidden while it is in review.
  • Verified — your number is approved. The number is shown, and customer texts now send from it.
  • Rejected — the carrier could not approve the submission. The page shows the reason, or "No reason was given." if the carrier gave none.

Fill in the business profile

Under Not started (or Rejected), fill in the Business profile form. Every field is required except the two marked optional.

  1. Legal business name.
  2. Registration type — EIN (United States) or CRA business number (Canada) — and your Registration number. An EIN is 9 digits, like 12-3456789. A CRA business number starts with 9 digits, like 123456789RT0001.
  3. Street address, Address line 2 (optional), City, State or province, Postal or ZIP code, and Country (United States or Canada).
  4. Contact name, Contact email, and Contact phone.
  5. Website (optional), like https://example.com.
  6. Texts you expect to send each month — a whole number. Commas are fine.

Choose Submit for review. If a field is missing or wrong, you get a message under that field and what you typed is kept. Nothing is submitted until every field passes. On success the page says it will update when the review is done, and the status moves to In review.

If it is rejected

Read the reason on the page, then choose Edit and resubmit. It jumps to the form, which comes back filled in with what you sent last time. Fix what the reason points at and choose Resubmit. The status goes back to In review and the old reason is cleared.

If you submit while you are already In review or Verified, Thermal tells you so and changes nothing.

Customer opt-in pages

Customer sign-up is separate from the office business profile. The public Text message updates page asks for a mobile number and an agreement to receive service texts. The company-specific opt-in page also names your business and records that company as the sign-up source. Use its link when you need a consent page for your company.

You're signed up. confirms that the agreement was recorded. These forms do not create a customer contact, change an existing customer's text preferences, or verify your sending number. Your office sender review and the customer's text preferences remain separate.

What happens to texts before you are verified

Your company texts only from its own verified number. Until the status is Verified, there is no number to send from, so customer texts are skipped rather than sent. Email for the same event is not affected.

Plan on no customer texts going out until you are Verified.

Once you are Verified, reminders and on-my-way texts go out from your number with no further setup. Texts customers send to that number show on Messages, and on the customer's Messages section. Until the status is Verified, a reply from that section is refused with "Not sent: text sender is not ready."
