Review operations with your assistant

Use Thermal's ten operational prompts to review the records your connected assistant can read. Start with Connect Thermal to your assistant. Production connection availability remains unconfirmed; these prompts need an enabled connection and the permissions for the records they use.

Choose a Thermal prompt in your assistant, or ask for it by name. For a customer or site lookup, include the name, address, or record identifier to find. Each result is Suggested: review the linked records before deciding what to do. The prompts describe next steps and do not change records or send messages. See Review approvals for actions requiring approval.

Morning operations briefing

Review dispatch exceptions, overdue maintenance, completed work awaiting billing, collections, and purchasing exceptions together. Ask for Morning operations briefing to get a starting point for the day's review. The briefing uses returned work orders, maintenance schedules, invoices, received payments, and purchase orders. See Read the dashboard for the corresponding company overview.

Overdue PM recovery

Find active preventive-maintenance visits past your organization's overdue window, oldest first. Review the agreement before arranging a visit. See Set up a service agreement.

Underpriced agreements

Find active agreements approaching renewal whose recorded margin falls below your organization's review threshold. The comparison uses recognized revenue and recorded service costs. An agreement with no recognized revenue has an unknown margin; it is not proof of underpricing. The result suggests a pricing review, without choosing a new price. See Agreement billing and renewal.

Unbilled completed work

Find completed work past the billing review window with no non-void invoice linked to it. Check the site customer, bill-to customer, and agreement payer separately before drafting a bill. See Bill completed work.

Dispatch exceptions

Review every upcoming visit on a job: visits with no technician or subcontractor assigned, and visits not yet started past the lateness window. A visit assigned to a subcontractor counts as assigned. Completed and in-progress visits are excluded. See Dispatch exceptions.

Collections

Review sent or partially paid invoices with an outstanding balance past the collection window, oldest due first. Results show ageing groups from your organization's policy. Received payments provide context; the outstanding balance already accounts for payments. Keep currencies separate. See Send and collect invoices.

Equipment at risk

Review red-tagged equipment and units reaching your organization's age threshold. Age is a reason to review an asset, not a diagnosis. An unknown installation year remains unknown. See Manage equipment records.

Quote follow-up

Find sent quotes with no recorded decision after the follow-up window. Draft, approved, declined, and expired quotes are excluded. A missing decision does not prove that nobody spoke with the customer. See Create and send a proposal.

Customer and site lookup

Find returned customer names or site labels and addresses matching your search text. Results identify a site's owning customer; ownership alone does not decide who pays for work. See Manage customer records.

Purchasing exceptions

Review orders waiting for approval and open or partially received orders past an expected or required delivery date. Received and canceled orders are excluded. See Manage purchase orders.

Read the limits of a result

These prompts use organization policy for overdue, renewal, follow-up, age, margin, and ageing thresholds. Results should cite the records they used and state when those records were read. A result is limited to your connection's organization, branch, and permissions. See Platform API permissions.

A denied read, missing date, or unfinished page of results is incomplete evidence. Ask your assistant to finish reading the permitted records and disclose any gaps. No findings in returned records does not mean there are no problems elsewhere in the business. Always open the cited record before acting.
