Apply a recommendation template to a job

Use a recommendation template to add its preset parts and labor to a job in one go. Choose the template and the right price-book tier, then check the new lines before the job is billed. For building or changing a template, see Set up commissions.

Apply a template to a job

  1. Open the job and go to Visits and parts.
  2. Under the pricebook picker, open Apply recommendation template.
  3. Choose a template from Select a template…. Each option shows its item count. The preview shows the template name, any notes, the item count, and a total value.
  4. Choose Standard, Member, or Commercial for the price-book tier.
  5. Select Apply template.
  6. Review the added rows in the job's line-item table. They show the description, kind, department, quantity, unit price, and total. Adjust a quantity or department if needed, or remove a row from its row actions.

Applying the same template again adds another set of its active catalog items. Check the rows before applying it a second time so you do not add duplicate work by mistake.

What the preview and price tier mean

The preview is a quick reference, not the final charge. It adds each template quantity at the catalog's standard price. It does not change when you choose a different tier, can include catalog items that are now inactive or deleted, and does not show a discount line as a negative amount.

When you apply the template, Thermal skips inactive or deleted catalog items. For each remaining item, it captures the catalog price at that time. Standard uses the standard catalog price. Member and Commercial use the selected tier with your company's price-book tier settings, including an item-specific tier price when one is set. Later catalog-price changes do not change the lines already added to this job.

If the template adds a negative discount line and that line meets an approval rule, the new line is marked pending approval. Review that line before moving the job forward.

Why Apply recommendation template may be missing or fail

Only Owners, Office users, and Dispatchers can apply a template. Technicians cannot use this office action. The control is also hidden when the job is invoiced or canceled, or when there is no available template with an item to show.

If the control is visible but the template cannot be applied, check the message and the job status:

  • Missing job or template. means the request did not include both required selections.
  • Job not found. means the job is not available in your current company.
  • Cannot apply a template to a invoiced job. and Cannot apply a template to a canceled job. mean those jobs cannot accept new template lines.
  • Template not found. means the selected template is not available in your current company.
  • Template has no active pricebook items. means every catalog item in that template is inactive or deleted, so there is nothing to add.
  • You don't have permission to perform this action. means your role does not have Dispatch access.
