Change equipment coverage on an agreement
Use the agreement's Covered equipment tab when one unit needs to be added to or removed from an existing agreement. Owners, Office users, and Dispatchers can make this change. Technicians cannot.
For several units at once, use Add to agreement from the equipment list instead. See Manage equipment records.
Add a unit to coverage
- Open Agreements, then open the agreement you need to change.
- Open the Covered equipment tab.
- Find the unit in the table. The table lists the units at the agreement's service site, or at the customer's sites when the agreement covers all customer sites.
- In that unit's Coverage column, choose Add to coverage.
If the unit already has an explicit coverage record, choosing Add to coverage again leaves that record as it is. It does not create a duplicate.
When the agreement has a rate card, Thermal uses the agreement's Starts On date to resolve the unit's rate. If there is no start date, it uses the current date. It saves the resulting annual price and SLA response for that unit; the SLA response column shows the saved response time. Without a rate card, the unit's annual price is left unset.
You may see one of these messages instead:
- "This unit doesn't belong to this agreement's customer." Choose a unit that belongs to the agreement's customer.
- "Blocked — a contractor non-compete rental covers this unit." The unit cannot be added while that rental block applies.
Remove a unit from coverage
- Open the agreement's Covered equipment tab.
- Find the unit in the table.
- In the unit's Coverage column, choose Remove.
Remove deletes only that unit's explicit coverage record. It does not remove the unit from the customer or service site. The unit can still appear in the table because the agreement's equipment list is based on its service site or customer scope.
If the unit was already removed, choosing Remove again changes nothing.
When Remove is unavailable
If the agreement has recognized revenue in its current billing period, Thermal keeps the coverage record in place and shows:
"Already billed this period — can't be removed until next renewal."
The current billing period begins at the latest renewal that has not been reverted. If there is no such renewal, it begins on the agreement's Starts On date; if that is blank, it begins when the agreement was created. Thermal compares calendar dates when it checks for recognized revenue.
Wait until the next renewal before removing the unit. There is no removal option during the billed period.
