Agreement visit banking

Open Reports → Agreement Visit Banking in Thermal →

What it's for

Open Reports → Agreement visit banking to review remaining included visits before an agreement ends. The report lists active agreements and agreements due for renewal whose current term ends within the next 60 days. Agreements with no remaining visits are omitted. The highest estimated remaining value appears first.

This is a read-only worklist. It does not expire visits, carry them into another term, create invoices or propose automated changes.

Tabs

The report has one table. There are no tabs.

Panels and controls

The table shows the agreement, agreement payer, site customer, site, branch, term dates, days left, included visits, used visits, remaining visits, estimated remaining value and term-end policy. Select an agreement or payer to open its record. Choose a branch when branch comparison is available; staff restricted to one branch stay within that branch.

Included visits are estimated as one visit per cadence period within the term. Active named visit schedules replace the agreement's flat cadence. Day-based schedules use their day interval. The report selects the term that has started as of the company’s local report date, ignoring reverted renewals. An early renewal does not replace the ending term before the new term starts; the ending term keeps its own expiry and price.

Completed or invoiced maintenance and inspection jobs linked to the agreement consume visits. Each job counts once, even with several appointments. Canceled, deleted, repair and incomplete jobs do not count. Completion dates use the company's time zone and must fall within the term through the report date.

Remaining value allocates the contract price across the term's included visits. Multi-year terms include their whole term value; shortened terms use their share of the normal term. Amounts are rounded to whole cents. This is an estimate for review, not a confirmed invoice amount or a credit balance. The agreement customer receives the value attribution even when the site owner or a site billing rule names someone else.

Remaining visits may still be due or scheduled. While the term is open, including its expiry day, these visits are not classified as unused and have no expiry, rollover or bill-out amount. Expire, Roll over and Bill out show the recorded policy for term end, rather than a confirmed disposition of the remaining allowance. Review terms means no valid policy has been recorded. Missing prices or incomplete term dates show an unknown value rather than zero. Confirm the contract before taking any action.

What it accepts

The report accepts a branch selection. It has no editable visit balance, policy control or billing action. Use the agreement record to review its terms.

How to configure it

Keep agreement dates, prices and visit schedules current. Term-end policies must already be recorded for each agreement; this report does not supply a default policy or change contract terms. When a policy is absent, review the signed agreement before deciding what happens to unused visits.

Who can see it

Staff need Reports access and permission to view costs. Custom roles and branch restrictions further limit the rows shown. The table can be starred from its header for quicker access from Reports.
