Agreement coverage gaps

Open Reports → Agreement Coverage GAP in Thermal →

What it's for

Open Reports → Agreement coverage gaps to find installed equipment without current agreement coverage. Use it to prepare a renewal conversation or identify units that need an agreement. Results are grouped by customer and service site.

An active agreement can cover a unit explicitly, cover all equipment at its site, or cover all sites for its customer. The report honors all three forms of coverage. A unit is omitted when any matching agreement provides current coverage, even if another agreement has expired. Deleted customers, sites, equipment and agreements are excluded.

Tabs

The report has one view. Each customer/site group has an equipment table.

Panels and controls

The header shows the number of units with gaps and the as-of date. Each table shows equipment, serial number, branch, gap, agreement, term start, term expiry and next step.

  • No active coverage means no matching agreement currently covers the unit. Canceled agreements and agreements awaiting signature do not count as current coverage.
  • Coverage expired identifies a lapsed agreement or term. The term's expiry date remains covered; a gap starts after that date.
  • Coverage starts later identifies a future term. It does not count as current coverage and is not labeled expired.

Attach coverage opens the equipment record. Renew agreement opens the expired agreement. Review future coverage opens the agreement with the upcoming term. These links open records for review; selecting them does not attach or renew anything.

Choose a branch when branch comparison is available. Staff restricted to one branch remain within that branch. Select Export CSV to download the matching equipment rows, including their customer, site, gap, term dates and next-step links. The download uses the same branch scope as the screen.

When no units match, the report shows No coverage gaps.

What it accepts

This is a read-only report. Its branch control selects from the branches you can access. Changes to equipment coverage, agreement status or term dates belong on the equipment or agreement records.

How to configure it

The report has no separate setup. Keep equipment assigned to its service site, and keep agreement scope, status and term dates current. Coverage follows the agreement's term dates.

Who can see it

Staff with access to Reports can open this screen and export its results. Standard owner, office manager and dispatcher roles have Reports access; technicians do not. Custom role permissions and branch access can further limit what a staff member sees.

See Roles & permissions for the role matrix.
