What it's for
Scheduled reports manages reports emailed to staff as CSV, Excel or PDF
attachments every week or month. Open Scheduled from Reports, at
/report-schedules. See
See how the business is doing
for using the reports themselves.
One row represents one saved schedule. Active and paused schedules remain visible; deleted schedules leave the list. The header's scheduled count includes both active and paused rows you are allowed to see.
Tabs
- All reports opens the report directory at
/reports. - Scheduled opens this list and is selected here.
The schedule sheet has no tabs. It is one form for the report, attachment, repeat pattern, send time, branch and recipients.
Panels and controls
Search scheduled reports… searches the report name, schedule description, branch and status in the loaded table. The table initially shows 25 rows per page and includes these columns:
| Column | Shows |
|---|---|
| Report | Saved report's name; sortable |
| Format | CSV, Excel or PDF; sortable |
| Schedule | Weekly with a weekday, or Monthly with a day number, followed by the send hour; not sortable |
| Branch | Selected branch or All branches; sortable |
| Recipients | Count of saved recipient staff members; sortable |
| Status | Active or Paused; sortable and filterable |
| Actions | Edit, Pause/Resume and Delete |
Schedule report opens Schedule a report. A new form defaults to Excel, Weekly, Monday and 7:00, with no recipients selected. Report offers reports you can schedule. Format, Repeats, Day of the week or Day of the month, Send time, Branch and Recipients set the delivery. Schedule report saves; Cancel closes without saving.
A row's Edit opens Edit scheduled report with its existing values; Save schedule commits the changes. Pause keeps the schedule and recipients but stops future delivery consideration. Resume makes the saved schedule active again. Delete asks Delete this scheduled report? and removes it from future delivery and the active list while retaining its history.
Changing Branch changes which recipients fit the scope. People who no longer fit are not submitted when you save. A branch-limited caller's branch picker is fixed to their own branch.
No scheduled reports offers Schedule report. In the sheet, No one can receive this report means no available Reports users fit the chosen branch. A listed recipient can still fail the save if the selected report requires an additional permission they do not hold.
Schedule saved versus report delivered
Report scheduled., Schedule saved. and Active confirm the saved configuration. The table does not show a last-delivered result. They do not prove that an attachment was generated, accepted by email delivery or received in an inbox.
Send time uses the company's time zone, in whole hours. Weekly delivery uses the previous complete Monday–Sunday period; monthly delivery uses the previous calendar month. Individual report definitions decide how that period affects their figures. The sheet has no custom date-range or report-filter fields.
Delivery checks active schedules and rechecks staff access, branch scope, account eligibility and email addresses at send time. Staff who lose access do not keep receiving reports just because they remain on a saved recipient list. Rendering or email can fail; attachments larger than 10 MiB are refused.
What it accepts
| Field | Format | Required | Rule |
|---|---|---|---|
| Report | Pick a report | Yes | Choose a report from the list.; the caller must hold its permissions |
| Format | CSV, Excel or PDF | Yes | Choose CSV, Excel or PDF. |
| Repeats | Weekly or Monthly | Yes | Choose weekly or monthly. |
| Day of the week | Sunday through Saturday | For Weekly | Choose a day of the week. |
| Day of the month | Integer 1–28 | For Monthly | Choose a day of the month from 1 to 28. so the day exists every month |
| Send time | Whole hour, 0:00–23:00 | Yes | Choose a send time.; minutes and a separate time zone are not configurable |
| Branch | A live available branch or All branches | No; defaults to All branches when allowed | Choose a branch from the list.; restricted callers are pinned to their branch |
| Recipients | Select staff | 1–50 | Choose at least one recipient. / Choose 50 recipients or fewer. |
Every recipient must be available in the company, able to open Reports and hold any permission required by the selected report. A recipient who can see one branch can receive that branch's report only, including when someone with company-wide access saves the schedule. An all-branches report requires company-wide recipients. Refused create/edit requests save no partial changes.
How to configure it
The company time zone sets the clock; this screen does not set a per-schedule time zone. Staff access, permission overrides and branch assignments control recipient eligibility. Reports with cost figures require cost-view permission for the scheduler and recipients. Company email delivery and staff notification preferences affect whether the saved delivery can go out.
Who can see it
Owners, office managers and dispatchers can open Reports and Scheduled reports with the standard roles; technicians cannot. Custom roles can narrow access. Scheduling also requires a linked staff user. Reports requiring extra permissions are omitted from the report picker and schedule list when the caller lacks those permissions.
Branch-limited users see their own branch's schedules and can only save that branch's scope. Edit, pause, resume and delete check the caller's company and branch again; an unavailable schedule returns Scheduled report not found. A direct URL does not expand access.
