Bad-debt allowance

What it's for

Estimate the portion of aged open receivables that may not be collected. Each aging bucket’s balance is multiplied by an allowance rate. Net realizable value is the aged open balance less that allowance. The report does not post an accounting entry or write off invoices.

Panels and controls

The summary shows aged open AR, estimated allowance, net realizable value and the change from the recorded prior-month estimate. The table shows the balance, invoice count, rate, allowance and net value for each nonempty bucket.

If you can compare branches, select Branch and choose Filter. A person restricted to one branch sees only that branch.

What it accepts

Sent and partially paid invoices with positive balances are included. Age is measured in whole UTC days from the issue date, falling back to the due date. The buckets are 0–30, 31–60, 61–90 and over 90 days. Invoices without a current or past aging date are disclosed separately and excluded from the estimate.

Invoice balances already reflect applied payments and credits. Unapplied credits are not assigned to a bucket. Allowances are rounded once per bucket to the nearest cent.

How to configure it

Organization settings hold the allowance assumptions. Default rates are 1%, 5%, 20% and 50% in bucket order. There is no rate editor on this read-only report.

Estimates are recorded automatically every hour for the organization and each branch, including branches with no open balance. The current calendar month’s estimate is refreshed on each successful capture. Once that month closes in the organization’s time zone, its last successful capture is retained without being recomputed. The report shows when that prior estimate was captured. This is a recorded estimate, not an exact reconstruction of the balance at midnight.

The comparison uses the matching branch scope from the prior calendar month. Thirteen calendar months of estimates are retained. If no matching estimate was captured, including the first month after this feature is enabled or after an entire month without successful captures, the change is Unavailable. Missing months are never reconstructed from current invoice balances.

Who can see it

This screen sits behind the Reports area.

Owners, office managers and dispatchers can open it. Technicians cannot. The gate is checked on the server, not just hidden in the sidebar, so a direct link does not get around it.
