What it's for
Time reconciliation compares four figures for each completed job and technician: time worked on site, approved payroll time, time billed as labour, and time actually invoiced. Open it from Reports → Time reconciliation, at /reports/time-reconciliation. It is a read-out; it changes no time, line or invoice.
Tabs
The report has one view with two lists, By job and By technician.
Panels and controls
Choose Completed from and Completed to (both inclusive, in your company's time zone) and, when you can compare branches, Branch. Jobs are picked by the date they were completed.
Tiles show total Actual, Payroll, Billable and known Invoiced minutes, and the number of jobs. By job and By technician list every figure with Actual − billable and Billable − invoiced. Opening a row goes to the job. Export downloads the same figures as CSV or XLSX, one job row followed by its technician rows.
How each figure is worked out
Actual is completed visits, from the moment work started to the moment the visit was completed, credited to the technician currently assigned to the visit. If you reassign a visit later, its time moves with it. Visits with no technician appear under Unassigned.
Payroll is approved, closed time entries of every type for the job, by the person who clocked them. A technician with payroll time but no visit still appears.
Billable is the labour lines generated from completed visits, including any quantity an office user changed by hand.
Invoiced is the quantity and amount of those labour lines on invoices that have been sent, whether unpaid, partly paid or paid. Drafts, voided and deleted invoices do not count. A job with no sent invoice shows zero.
When invoiced time is unavailable
Older invoices, and invoices in summary mode, do not record which labour line each invoice line came from. When a job has such a labour or fee line on a sent invoice, its invoiced time is shown as Unavailable and Billable − invoiced is left blank rather than guessed. The known part is still shown with a +, with a count of the lines that could not be traced. Actual − billable is still shown.
What it accepts
This is a read-only report. It takes a completed-date range and an optional branch, and changes no time, line or invoice. Fix time or labour lines on the work order, and invoices on the invoice.
How to configure it
The report has no separate setup. Keep visits assigned to a technician, approve time entries, and generate labour lines from completed visits so each figure has something to compare.
Who can see it
Opening it requires the Reports, Work orders, Invoices and Staff areas, and View costs, because it shows invoiced amounts. The check runs on the server, so a direct link or export link does not get around it.
